Privacy policy

This policy explains what Haad Cloud collects, why it is needed, and the choices available to account owners, staff, and people whose information is recorded in a business workspace.

1. Information we collect

We collect account details such as names, email addresses, phone numbers, authentication records, business details, subscription status, and the roles and permissions assigned to users. A business may also enter products, inventory, suppliers, customers, staff details, orders, expenses, invoices, and related operational records into its private workspace.

When the service is used, we receive technical information such as IP address, browser and device details, login activity, security events, and diagnostic logs. If you contact us, we retain the message and the contact information needed to reply.

2. How we use information

We use information to create and operate workspaces, authenticate users, enforce staff permissions, maintain stock and sales records, produce reports, deliver notifications, process subscriptions, investigate errors or abuse, answer support requests, and improve the reliability and usability of Haad Cloud. We also use it when reasonably necessary to meet legal obligations and protect the service, our customers, and other people.

3. Google Sign-In

Google Sign-In is optional. If you use it, Google provides your name, email address, and Google account identifier. We use this information only to create, link, and authenticate your Haad Cloud account. Haad Cloud does not request or access Gmail, Google Drive, contacts, calendars, or files in your Google account.

We do not use Google account information for advertising, sell it, or use it to train artificial intelligence. You may request deletion of your Haad Cloud account and its linked Google identifier by contacting support, subject to the retention obligations described in this policy.

4. Business-controlled data

The business account owner controls the operational data entered into a workspace and decides which staff members may access it. Business owners are responsible for having a lawful reason to record information about customers, employees, and suppliers, for keeping that information accurate, and for assigning appropriate permissions. Staff should only use personal information as authorized by their business.

5. Payments and subscriptions

When an owner initiates a mobile payment, the mobile number, amount, currency, and payment reference may be sent to the payment provider configured for Haad Cloud. We may retain the provider name, transaction reference, amount, status, timestamps, and response needed to confirm and reconcile the payment. Haad Cloud does not ask for or store a customer’s mobile-wallet PIN.

6. When information is shared

We share only what is reasonably necessary with service providers that help host, secure, monitor, email, back up, or process payments for the platform. They may use the information only to provide those services to us. We may also disclose information when required by law, to respond to a valid legal request, or to prevent fraud, security incidents, or harm. If the platform business is reorganized or transferred, relevant information may move with it under protections consistent with this policy.

7. Retention and deletion

We retain account and business records while the workspace is active and for a reasonable period afterward when needed for restoration, financial reconciliation, security, dispute handling, or legal compliance. Account owners may request closure or deletion by contacting support. Some payment, invoice, audit, or backup records may be retained where deletion would conflict with a legal or security obligation.

8. Security

We use access controls, role-based permissions, password protection, encrypted connections, activity records, and operational safeguards designed to protect information. Owners should use strong unique passwords, enable available account security features, review staff access, and remove users who no longer work for the business. No online service can guarantee absolute security.

9. Your choices and rights

You may update your profile information from your account, ask the business owner to correct workspace information, or contact us to request access, correction, export, restriction, or deletion where applicable. We may need to verify your identity and, for business-controlled records, confirm the request with the account owner.

10. Cookies and sessions

Haad Cloud uses essential cookies and similar browser storage to keep users signed in, protect forms, remember necessary preferences, and maintain secure sessions. These technologies are required for core application functions; we do not use them to sell personal information.

11. Changes and contact

We may update this policy as the platform, providers, or legal requirements change. Material updates will be identified by a new effective date and may also be announced inside the service. Questions and privacy requests can be sent to info@haadcloud.com.
